Outpatient Behavioral Health Billing & Administrative Specialist

The Outpatient Behavioral Health Billing & Administrative Specialist manages billing and revenue cycle operations for substance use disorder (SUD) and mental health outpatient services. This role supports clinic administration and serves as backup for human resources and payroll functions.

Key responsibilities include submitting and managing claims for outpatient SUD and mental health services, ensuring accurate coding using CPT, HCPCS, and ICD-10 codes specific to behavioral health and SUD treatment, verifying insurance eligibility and prior authorizations with emphasis on Medicaid and managed care, monitoring accounts receivable and following up on denied claims, posting payments, and ensuring compliance with payer requirements and documentation standards.

Administrative duties include maintaining accurate client records in EHR systems per confidentiality regulations (HIPAA, 42 CFR Part 2), supporting client intake and scheduling, tracking program metrics, performing general administrative tasks, and assisting leadership with operational reporting.

Provides backup support for human resources functions such as onboarding, credential tracking, recruitment activities, and maintains employee records per healthcare standards. Also assists with payroll processing and ensures accuracy and confidentiality.

The position is part-time (24 hours per week), office-based with regular interaction with clinical and administrative teams. The role requires discretion handling sensitive information and commitment to recovery and mental health care mission.

Qualifications include associate's or bachelor's degree in Healthcare Administration, Business, Accounting, or related field (or equivalent experience), 2-4 years in medical billing preferably behavioral health or SUD, knowledge of Medicaid billing, managed care, behavioral health payer requirements, familiarity with ASAM levels of care, experience with EHR and billing systems, and understanding of HIPAA and 42 CFR Part 2.

Competencies required encompass problem solving, project management, technical skills, customer service, interpersonal and communication skills, teamwork, organizational support, and punctuality.

Physical demands involve periods of standing, walking, sitting, and use of hand dexterity with occasional lifting of items under 25 pounds.

Requirements & Qualifications
  • Associate's or Bachelor's degree in Healthcare Administration, Business, Accounting, or related field (or equivalent experience)
  • 2-4 years experience in medical billing, preferably in behavioral health or substance use disorder settings
  • Strong knowledge of Medicaid billing, managed care, and behavioral health payer requirements
  • Familiarity with ASAM levels of care and SUD documentation
  • Experience with EHR and billing systems in behavioral health
  • Working knowledge of HIPAA and 42 CFR Part 2 confidentiality regulations
  • Familiarity with HRIS and payroll systems preferred
  • Strong attention to detail, organizational skills, and multitasking ability
  • Effective communication and collaboration skills
