Role Summary

The Medical Records Specialist will retrieve, organize, scan, file, and maintain patient medical records while ensuring accuracy, completeness, and HIPAA compliance.

Key Responsibilities

  • Retrieve medical records and contact external healthcare providers for new patient records
  • Request and follow up on records via phone, fax, and electronic communication
  • Handle sensitive patient information in compliance with HIPAA guidelines
  • Ensure medical records are complete, accurate, and properly organized in physical and electronic formats
  • Scan and file paper records and transition them to electronic systems
  • Update and maintain electronic medical records systems
  • Document record request status and communications in Google Sheets or designated systems
  • Perform quality checks on records for accuracy and integrity
  • Recommend process improvements to improve efficiency
Requirements & Qualifications

Qualifications

  • High school diploma or equivalent; additional healthcare administration education or certifications are a plus
  • Experience working with medical records and familiarity with HIPAA regulations
  • Strong verbal and written communication skills
  • Attention to detail and accuracy when handling sensitive patient information
  • Proficiency with Google Workspace, including Google Sheets
  • Ability to prioritize tasks, meet deadlines, and work in a fast-paced environment
  • Strong organizational, time management, and critical-thinking skills
  • Flexibility to adapt to changing priorities and collaborate effectively with a team
