As a Medical Records Retrieval Specialist, you will manage a queue of records requests, guide clients through authorizations, submit and follow up on requests with healthcare providers, and ensure complete, accurate records are delivered to case teams.
You will spend much of your day communicating with clients by phone and screen-share, working with providers and HIM departments, and tracking the status of each request. If a request stalls, you will identify issues early and keep the process moving.
This role is detail-driven and client-facing, with a strong focus on accuracy, organization, and handling protected health information appropriately.
Required
- High school diploma or equivalent
- Experience in records, a medical or healthcare office, or another detail-oriented, customer-facing role
- Comfort making outbound calls and guiding people through multi-step processes
- Ability to learn new software and online portals quickly
- Strong organization and attention to detail across multiple concurrent tasks
Preferred
- Familiarity with medical records authorization and release processes, and HIPAA
- Experience in a legal, plaintiff-side, mass tort, or personal injury environment
- Bilingual ability or prior high-volume client-contact experience
