Health Information Technician IV - Full Time Variable

This position obtains and processes the information needed for the health system’s vital statistics requirements, including birth certificates and death certificates. The role supports completion of North Carolina birth certificates, death certificates, and related paperwork, while coordinating with the Medical Examiner, funeral home representatives, and county and state vital statistics/public health departments.

This position also serves as a liaison between the health system, funeral homes, public health departments, and other departments as needed.

Major responsibilities

  • Prepare birth certificates by retrieving delivery notification sheets, reviewing labor and delivery reports, recording infant names in the birth log, interviewing mothers, entering certificate information, and obtaining required signatures
  • Upload birth information to the State Vital Records Office in Raleigh, NC on a regular basis
  • Obtain information and prepare paperwork for deaths, including in-hospital deaths, stillbirths, medical examiner cases, emergency department deaths, and DOAs
  • Support the Medical Examiner by preparing death certificates and related paperwork
  • Assist bereaved families with release-to-funeral-home information and explain required paperwork
  • Coordinate release of bodies with funeral directors and health system staff
  • Report and investigate problems, take appropriate corrective action, and notify leadership of emergencies or issues requiring attention
  • Provide notary services for patients and families as part of the birth certificate process
  • Follow Erickson’s developmental model and demonstrate age-specific interventions
  • Demonstrate sensitivity to the psychosocial, spiritual, and cultural needs of individuals
  • Manage workload effectively
  • Perform other duties as assigned
Requirements & Qualifications

Education and training

  • Associate degree in Health Information Management or a related program, or equivalent work experience, education, or training
  • RHIT or RHIA preferred
  • Must obtain a notary public appointment within 30 days after completion of the probationary period

Experience

  • Two years of acute care HIM or vital statistics experience preferred
  • Minimum of two years of customer service or public-facing experience
  • Public/guest relations experience is desirable

Skills and abilities

  • Proficiency in reading, writing, and speaking English
  • Ability to use word processing programs including Microsoft Windows
  • Typing speed of at least 50 words per minute with accuracy
  • Strong organizational skills
  • Good telephone etiquette
  • Ability to work with a variety of people in difficult situations

Physical requirements

  • Ability to speak and hear clearly
  • Visual acuity, motor coordination, and manual dexterity
  • Ability to walk to various departments within the health system
