Health Information Management Specialist

Gateway Rehab Center (GRC) is seeking a dedicated Health Information Management Specialist to ensure the accurate and timely handling of vital health information. This role is responsible for verifying and processing requests for health information to support patient care, quality and compliance reviews, and audits. The specialist will also scan and index health information, manage a high volume of release-of-information correspondence, and help maintain compliance with HIPAA and other governing regulations.

Responsibilities

  • Observe confidentiality and safeguard all protected health information (PHI).
  • Retrieve records accurately and in a timely manner for patient care, quality and compliance reviews, and audits.
  • Coordinate and process release-of-information correspondence in accordance with 42 CFR Part 2 and HIPAA.
  • Process subpoenas and court orders at the direction of the Regional Director of HIM & Compliance.
  • Process Date of Treatment Letters in a timely and proficient manner.
  • Ensure all requests for release of information are logged in the Release Tracker or reflected in the Accounting of Disclosure.
  • Process continuum of care referrals and external referrals for coordination of services.
  • Record linkage between EHR and other platforms such as mCare.
  • Process a large volume of scanning into the EHR.
  • Conduct focus audits to ensure quality of care.
  • Maintain positive working relationships with internal and external customers.
  • Adhere to organization policies and procedures.
  • Provide excellent customer service to internal and external customers.
  • Coordinate the MA Application process for county funded admissions, patients requiring Extended Care Services, and/or patients losing health insurance coverage.
  • Conduct quantitative analyses on documentation to ensure compliance with audit exceptions.
  • Perform other duties as assigned.
  • Attend all required trainings and in-services.
Requirements & Qualifications
  • High school diploma or equivalent
  • Previous medical records and/or business office experience
  • Post-secondary education preferred
  • Ability to pass PA criminal background check
  • Ability to obtain PA Child Abuse and FBI fingerprinting clearances
  • Ability to pass drug screen
  • Ability to complete a 2-step TB test
