Health Information Management Specialist

Job Summary

The Health Information Specialist works in a team-centered environment handling incoming and outgoing health information data to maintain an organized and complete electronic medical record for coordination of care, billing, auditing, and reporting.

The role requires strong attention to detail, the ability to work independently in a busy environment, and timely delivery of reports and documents to providers for patient care.

Primary Duties

  • Works directly with the public in person or by phone in a prompt and professional manner.
  • Reviews faxed documents, determines relevance, routes documents per procedure, and notifies providers within 24 hours.
  • Processes and prioritizes provider referrals according to procedure.
  • Scans and indexes hard copy medical documents to the correct patient and category in the electronic chart.
  • Tracks referrals and follows up with specialists or patients, communicating referral status to providers.
  • Assists with obtaining data from outside sources for next-day scheduled patients and uploads pertinent documents for pre-visit planning.
  • Assists in tracking hospital and emergency room discharges for care team visibility.
  • Requests authorization for referral services.
  • Processes requests for medical record information while following HIPAA and state/federal guidelines.
  • Attends huddles, department meetings, and staff meetings as needed.
  • Supports coworkers and contributes to a productive, friendly work environment.
  • Performs other duties as assigned.

Work Environment

MedNorth Health Center provides comprehensive health care services in a multicultural medical/dental clinic serving insured, uninsured, and underinsured patients. The role involves moderate to loud noise levels, frequent computer use, and possible exposure to copier toner, correction fluid, and bright fluorescent lighting.

Requirements & Qualifications

Qualifications

  • High school graduate with some college coursework.
  • 2 years of experience in a health care setting, preferably with referrals and preauthorization.
  • Medical terminology knowledge required.
  • Proficiency in MS Outlook, MS Excel, and MS Word.
  • Preferred: Associate degree in Health Information Management or a related field such as business administration, management, or public health.

Skills

  • Ability to use standard office equipment, including computers, photocopiers, and fax machines.
  • Ability to learn and use internet-based insurance eligibility systems.
  • Strong telephone etiquette, interpersonal, and customer service skills.
  • Excellent organizational, problem-solving, reasoning, and critical thinking skills.
  • Ability to prioritize, maintain accuracy, and work under pressure with frequent interruptions.
  • English fluency required; additional languages are a plus.

Physical Requirements

  • Regular standing, walking, talking, hearing, and use of hands.
  • Occasional stooping, kneeling, crouching, or crawling.
  • Frequent lifting or moving up to 20 pounds.
  • Close vision and color vision required.
