Release of Information Specialist I

Vital Records Control (VRC)

The Release of Information (ROI) Specialist I processes assigned requests for medical records in a timely and efficient manner while maintaining accuracy, quality service, and strict patient privacy protections. The role ensures all release of information requests comply with authorization requirements, company policies, healthcare facility procedures, HIPAA, and applicable federal and state regulations.

Key responsibilities include:

  • Processing assigned ROI request types, primarily Continuing Care and Disability Determination Services
  • Accessing medical records according to client-specific procedures and security protocols
  • Validating requests and signed patient authorizations for compliance
  • Logging requests into ROI software and classifying request types correctly
  • Retrieving, uploading, and releasing requested portions of patient medical charts
  • Performing quality control checks to prevent PHI breaches
  • Reviewing invoicing and adjusting invoices as needed
  • Documenting exceptions, communications, and other request-related information
  • Responding to requestor inquiries in a professional and efficient manner
  • Maintaining secure handling of medical records and confidential information
  • Supporting additional facilities or request types during backlogs as needed
  • Completing required training and performing other assigned duties
Requirements & Qualifications
  • High school diploma or GED required; degree preferred
  • Prior ROI fulfillment experience preferred
  • Strong attention to detail
  • Ability to prioritize, organize, and meet deadlines
  • Strong documentation and communication skills
  • Ability to maintain productivity and quality standards
  • Basic knowledge of medical records and HIPAA preferred
  • Prior EHR/EMR experience preferred
  • Experience with Windows and Microsoft Office products
  • Strong interpersonal skills with team members, clients, and requestors
  • Familiarity with printers, computers, fax machines, scanners, and microfilm reader/printers preferred
  • Detail-oriented, self-motivated, and able to stay focused for extended periods
  • Ability to read, write, speak, and comprehend English
  • Bilingual skills are desirable
