The Release of Information (ROI) Specialist I processes assigned requests for medical records in a timely and accurate manner while protecting patient privacy and ensuring compliance with HIPAA and applicable state and federal regulations. The role supports healthcare clients by validating authorizations, retrieving and uploading medical chart information, releasing records to authorized requestors, and maintaining accurate documentation in ROI software.
Key responsibilities include:
- Process assigned ROI request types, primarily Continuing Care and Disability Determination Services
- Access medical records according to client-specific procedures and security protocols
- Validate requests and patient authorizations for HIPAA and policy compliance
- Log requests in ROI software and retrieve requested chart portions from electronic or physical repositories
- Perform quality control checks to prevent errors and PHI breaches
- Check invoicing accuracy and make adjustments as needed
- Release records to authorized entities and reject invalid requests
- Return physical records to proper storage locations
- Document exceptions, communications, and request details in ROI software
- Escalate questionable requests, potential breaches, delays, and technical issues to a supervisor
- Provide courteous and efficient responses to requestor inquiries
- Maintain secure handling of records, office materials, and confidential information
- Support additional facilities or request types during backlogs as needed
- Complete required training and perform other assigned duties
Requirements & Qualifications
Required and preferred qualifications:
- High school diploma or GED required; degree preferred
- Prior ROI fulfillment experience preferred
- Strong attention to detail and ability to prioritize, organize, and meet deadlines
- Strong documentation, communication, and interpersonal skills
- Ability to maintain productivity and quality standards
- Basic knowledge of medical records and HIPAA preferred
- Experience with EHR/EMR platforms preferred
- Experience with Windows and Microsoft Office products
- Familiarity with printers, computers, fax machines, scanners, and microfilm reader/printers preferred
- Strong computer skills
- Must be detail-oriented, self-motivated, and able to focus for extended periods
- Ability to read, write, speak, and comprehend English
- Bilingual skills are desirable
