Medical Records Specialist

We are seeking a detail-oriented Medical Records Specialist to support medical documentation and correspondence functions within a busy healthcare environment. This role is responsible for managing record requests, coordinating incoming communications, maintaining accurate documentation, and ensuring compliance with privacy and confidentiality standards.

  • Process and review incoming correspondence from insurance carriers, government agencies, and other external organizations.
  • Assess medical record requests and identify the appropriate patient documentation needed to fulfill each request.
  • Compile, prepare, and securely transmit requested records within established timelines.
  • Direct incoming communications to the appropriate departments for timely review and follow-up.
  • Monitor payer correspondence, audits, and documentation requests, ensuring proper routing and escalation when needed.
  • Maintain accurate records of requests, releases, and related communications.
  • Handle patient information in accordance with HIPAA requirements and organizational policies.
  • Communicate effectively with internal teams and external partners regarding documentation requests.
  • Support document management activities, including scanning, indexing, filing, and record maintenance.
  • Track outstanding requests and follow up to ensure completion.
  • Assist with administrative and revenue cycle workflows related to medical records management.
Requirements & Qualifications
  • Previous experience working with medical records required.
  • Knowledge of Revenue Cycle Management (RCM) processes preferred.
  • Familiarity with HIPAA regulations and patient privacy requirements.
  • Experience with electronic medical record systems; Athena experience is a plus.
  • Strong organizational, computer, and problem-solving skills.
  • Demonstrated reliability and professional work history.
  • High School Diploma or equivalent required.
  • Ability to pass required pre-employment screenings, including background and drug screening.
