Medical Records Representative

Under limited supervision, the Medical Records Representative maintains patient records, responds to requests for medical records, requests and obtains medical records for current and new patients, and performs various clerical duties.

Essential Duties and Responsibilities

  • Perform job in accordance with company mission, vision, and goals.
  • Exercise confidentiality in all areas, abiding by HIPAA rules and regulations.
  • File inbound correspondence from insurance companies, providers, and others.
  • Maintain patient charts electronically and retrieve files for scheduled appointments; file all patient data upon receipt of information; retrieve records for new patients; send records to third-party locations.
  • Process and respond to all requests for medical records; complete invoices and collect payment for medical record requests before distributing documents to physicians, other facilities, and other departments.
  • Produce records and documents for billing and/or legal services; send and receive information via efax and by mail.
  • Answer, transfer, and make outgoing telephone calls; coordinate with representatives of different companies for all medical record inquiries.
  • Keep supervisor informed of problems or issues; monitor needed supplies; distribute faxed information to the appropriate departments.
  • Ensure requests are attended to in a timely manner.
  • Create and maintain a positive atmosphere of customer service, teamwork, mutual respect, professionalism, and accountability.
  • Maintain knowledge of and comply with established state, company, and other applicable policies and procedures.
  • Act as a liaison between the company and medical records requestors.
  • Perform other duties as assigned.

Driving/Travel

Travel for this position may be required up to 20%. The primary workplace may be closest to the employee's home, but work assignments could be in any of the company's locations.

Requirements & Qualifications
  • High school diploma or equivalent.
  • Knowledge of Internet and Microsoft Office software, including Word, Excel, PowerPoint, and Outlook.
  • Excellent written and oral communication skills, including exceptional customer service.
  • Ability to establish and maintain effective working relationships with doctors, clinical staff, coworkers, and the public.
  • Ability to work independently and as part of a team.
  • Ability to follow verbal and written instructions.
  • Ability to work a flexible schedule.
  • Ability to respond with patience and understanding during stressful conditions related to patient health and emergent situations.
  • Ability to multitask and prioritize.
  • Strong attention to detail.
  • Strong organization skills.
  • Ability to problem solve and use reasoning.
  • Ability to meet predefined quality standards.
  • Professional attitude and appearance.
  • Working knowledge of the healthcare field, medical specialty, and medical terminology.
  • Preferred: 1 year of medical records experience.
