Medical Records Assistant 2

The Department of Health Information Management at SUNY Downstate Health Sciences University is seeking a full-time Medical Records Assistant 2.

The successful candidate will:

  • Have strong electronic systems experience and good interpersonal skills to address physicians and staff.
  • Report to the supervisor of the file room area.
  • Assist with special projects.
  • Be cross-trained in all Health Information Management functions.
  • Work with systems utilized by the alpha scanning system, including Healthbridge Electronic Medical Records, 3M Chart Tracking System, and Clairsol.
  • Ensure strict adherence to HIPAA security and confidentiality guidelines.
  • Troubleshoot problems with the scanning system or machine, ensure papers are properly oriented, and reposition pages in the system with the correct label and date of service.
  • Conduct maintenance cleaning of the system and address paper jams.
  • Prepare charts for the Alpha System Scan and process inpatient and outpatient papers appropriately for the corresponding medical record.
  • Scan loose material into the Alpha system.
  • Sort and scan emergency room records into the Alpha system.
  • Conduct Master Patient Index/Eagle and 3M searches on all emergency room records.
  • Assemble inpatient and outpatient charts.
  • Ensure patient identifiers are on each page during medical record assembly and identify deficiencies according to departmental guidelines.
  • Enter provider-related deficiencies into the 3MHISClient/Chart Fact system.
  • Ensure all processed charts are signed out in the 3MHISClient/ChartFact system to the appropriate department unit.
  • Conduct Master Patient Index/3M searches on all loose papers.
  • View records for attorneys, auditors, patients, and others.
  • Provide prompt responses to telephone, fax, and walk-in inquiries, as well as requests from the Department of Health and other hospital entities for medical information.
Requirements & Qualifications
  • 1+ year of experience in Health Information Management
  • Comprehensive knowledge of medical terminology
  • Familiarity with HIPAA
  • Strong interpersonal, verbal, and written communication skills
  • High school diploma
  • Preferred: Associate degree
  • Preferred: 2 years of related work experience in a healthcare environment, preferably in Health Information Management
