Medical Records Technician

Duties

  • Scan, index, and file non-electronic medical and administrative information and forms.
  • Maintain a daily log of documents scanned, filed, and indexed.
  • Respond to customer requests for information in a positive and efficient manner.
  • Perform qualitative reviews of work completed by yourself and other scanned documents.

This position may involve work schedules that include 24/7 coverage, holidays, and weekends.

Requirements & Qualifications

Conditions of employment

  • Selectee may be subject to a probationary period.
  • U.S. Citizenship is required.
  • Selective Service registration is required for males born after 12/31/1959.
  • Must comply with IHS immunization policy if working in an IHS healthcare facility.
  • Must successfully pass E-Verify.
  • Must complete a federal background investigation.
  • Must complete background investigation forms within five calendar days of issuance.
  • Financial suitability review is required.
  • Must present two valid forms of identification prior to appointment; one must be REAL ID-compliant if state-issued.

Qualifications

GS-5

  • 4 years of education above high school with creditable education related to the position, or
  • 1 year of specialized experience equivalent to GS-4, including:
    • Reviewing medical records for completeness.
    • Preparing, scanning, indexing, and filing medical documentation into electronic health record systems.
    • Conducting quality control checks of scanned records.
    • Processing requests for release of information in accordance with privacy requirements.
    • Maintaining medical record tracking logs.
    • Retrieving and archiving records.
    • Communicating with healthcare providers and staff to ensure accurate and complete patient records.

GS-6

  • 1 year of specialized experience equivalent to GS-5, including:

    • Reviewing, scanning, indexing, and maintaining patient medical records in an electronic health record system.
    • Ensuring compliance with HIPAA and the Privacy Act.
    • Processing medical record requests from patients, providers, attorneys, insurance companies, and government agencies.
    • Conducting quality assurance audits of scanned medical records.
    • Performing quantitative and qualitative analysis of medical records to identify missing documentation and obtain provider corrections.
  • No education requirements.
