Surgical Coordinator - Spine/Orthopedic

McKinley Orthopedic & Sports Medicine is seeking a highly organized, detail-oriented, and patient-focused Surgical Coordinator to join the Spine/Orthopedic team.

The Surgical Coordinator plays a critical role in guiding patients through the surgical process, from the decision to proceed with surgery through scheduling and pre-operative preparation. This role works closely with surgeons, clinical staff, surgery centers, and patients to ensure every surgical case is coordinated accurately and efficiently.

The ideal candidate is comfortable working in a fast-paced medical environment and is committed to creating an organized and supportive experience for patients preparing for surgery.

Key responsibilities include:

  • Coordinating and scheduling orthopedic and spine surgical procedures with hospitals and ambulatory surgery centers
  • Serving as a primary point of contact for patients throughout the surgical scheduling and pre-operative process
  • Providing clear instructions regarding surgery dates, arrival information, required testing, medical clearances, appointments, and other pre-operative requirements
  • Coordinating surgical dates and case details with surgeons, clinical teams, operating facilities, and other involved parties
  • Obtaining insurance authorizations and verifying surgical benefits and coverage requirements
  • Tracking authorization status and following up with insurance carriers to help prevent delays or cancellations
  • Ensuring required clinical documentation, imaging, testing, clearances, and other records are completed and available before surgery
  • Coordinating pre-operative and post-operative appointments
  • Maintaining accurate surgical schedules and communicating schedule changes promptly to patients, providers, and facilities
  • Reviewing surgical documentation for completeness and accuracy
  • Communicating professionally and compassionately with patients experiencing pain, anxiety, or uncertainty regarding surgery
  • Working closely with physicians, medical assistants, front-office staff, billing personnel, hospitals, surgery centers, and outside medical offices
  • Documenting patient communication, authorization information, and scheduling activity accurately in the electronic medical record
  • Identifying potential scheduling or authorization issues early and resolving them proactively
  • Protecting patient confidentiality and following HIPAA and practice policies
  • Performing other administrative and patient-care coordination duties as assigned
Requirements & Qualifications

Required:

  • Excellent organizational skills and strong attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple patients, deadlines, authorizations, and surgical cases simultaneously
  • Professional and compassionate approach to patient communication
  • Strong computer skills and ability to learn electronic medical record and scheduling systems
  • Ability to work independently while collaborating effectively with physicians and other members of the healthcare team
  • Dependable, accountable, and comfortable working in a fast-paced clinical environment

Preferred:

  • Previous experience in orthopedic, spine, surgical, or specialty medical practice
  • Previous surgical scheduling or surgery coordination experience
  • Knowledge of medical terminology
  • Familiarity with CPT and ICD-10 codes
  • Experience working with hospitals and ambulatory surgery centers
  • Experience with electronic medical record systems
