Front Desk Dental Insurance Coordinator

We are seeking an experienced Front Desk Dental Insurance Coordinator to support patient care, scheduling efficiency, and timely insurance reimbursement.

This is a high-responsibility role for a seasoned dental professional who works independently, follows through without reminders, and takes ownership of results. Accuracy, timeliness, and consistency are expected.

The position combines front desk operations, insurance coordination, claims follow-up, and patient financial communication in a busy dental practice.

Requirements & Qualifications

Key Responsibilities

  • Provide professional, welcoming front desk support to all patients
  • Manage scheduling, confirmations, and efficient appointment flow
  • Answer multi-line phones with confidence and strong customer service
  • Verify Dental PPO insurance benefits accurately and in advance; Medicaid for pediatric patients only
  • Contact insurance companies for detailed benefit breakdowns
  • Submit and follow up on pre-determinations and insurance claims
  • Track, follow up on, and resolve unpaid or denied claims in a timely manner
  • Review treatment plans and clearly explain insurance coverage and patient financial responsibility
  • Inform patients of estimated co-pays and balances prior to the appointment
  • Collect patient payments at the time of service
  • Maintain accurate patient and insurance records in dental software
  • Ensure full compliance with HIPAA and office policies
  • Support daily office operations as needed

Required Experience & Skills

  • Minimum of 5 years of dental office experience required
  • Strong working knowledge of Dental PPO insurance plans
  • Experience with Medicaid in pediatric dentistry
  • Proficiency with Open Dental
  • Solid understanding of dental terminology and CDT codes
  • Proven ability to manage insurance processes independently
  • Comfortable discussing finances in a clear, respectful, and professional manner
  • Organized, detail-oriented, and dependable
  • Strong communication and problem-solving skills
  • Computer proficiency, including data entry and Microsoft Office
  • Ability to maintain confidentiality and accuracy under HIPAA guidelines
  • Bilingual skills are a plus
