Medical Records Specialist

DELAWARE GUIDANCE SERVICES FOR CHILDREN

The Medical Records Specialist supports medical record monitoring, tracking, accessibility, and compliance activities under the direction of the Risk, Compliance, and Privacy Administrator.

Responsibilities include:

  • Maintain routine chart audits and verify deficiencies
  • Distribute deficiency reports and case reviews
  • Monitor retention and destruction of charts in accordance with HIPAA, state, and federal regulations
  • Process and coordinate authorized disclosures of protected health information (PHI) for internal and external requestors
  • Serve as a HIPAA resource for the agency and maintain disclosure logs
  • Complete contract deliverables and maintain clinical documentation as assigned
  • Scan incoming correspondence into the EMR
  • Close clinical records/charts at discharge after verifying records are complete
  • Perform data entry as needed
  • Run and analyze EMR reports when appropriate
  • Pull charts for studies and insurance company audits
  • Maintain professionalism, confidentiality, and courteous communication with staff, patients, and families
  • Perform other duties as assigned
Requirements & Qualifications
  • High school diploma or GED, or at least one year of related experience and/or training, or an equivalent combination of education and experience
  • Ability to prioritize tasks and manage multiple assignments simultaneously
  • Ability to maintain confidentiality
  • Must pass annual HIPAA privacy and security training
  • Preferred: medical records and medical scheduling experience
  • Strong planning, organization, time management, communication, and teamwork skills
  • High attention to detail and accuracy
