Medical Records Secretary / HUC

Little Sisters of the Poor, Holy Family Residence

Responsible for managing resident medical records, scheduling medical appointments, and providing clerical and support services to the Nursing department.

This is an onsite position in St. Paul, MN and is not eligible for remote work.

Essential duties

  • Transcribe new admission orders into PointClickCare (PCC)
  • Enter resident information in PCC as needed
  • Scan and file documentation and reports accurately
  • Maintain physician visit lists and communicate scheduled visits
  • Ensure laboratory and radiology orders are completed and reconciled
  • Follow up on verbally communicated doctor’s orders to ensure signatures are obtained
  • Safeguard resident records in compliance with HIPAA standards
  • Maintain confidentiality of resident, departmental, and organizational information
  • Process records for resident admissions and discharges
  • Schedule medical appointments for residents
  • Perform additional duties as assigned by the supervisor
Requirements & Qualifications

Qualifications

  • High school graduate required
  • At least 2 years of experience in medical records in a nursing home or assisted living environment preferred
  • Current CNA license preferred
  • Experience with PointClickCare or another EHR required
  • Experience transcribing doctor’s orders required
  • Ability to read, write, and speak English
  • Strong telephone and communication skills
  • Ability to communicate accurately with all departments and outside entities
  • Ability to work independently with minimal supervision while following direction and standards
  • Commitment to integrity, confidentiality, and stewardship
  • Must be able to pass background check, drug testing, TB testing, and criminal background screening
  • Ability to perform essential job functions with or without reasonable accommodation
  • Written and oral communication proficiency in English
  • Long-term care or hospital experience preferred
