Health Information Management Coordinator

Virginia Heart

Virginia Heart is seeking a Health Information Management Coordinator to support outpatient cardiology operations by processing medical records requests, scanning and indexing records into Epic, and maintaining HIPAA-compliant handling of protected health information.

This full-time role works Monday through Friday, 8:00 a.m. to 4:30 p.m., with no evenings, nights, weekends, major holidays, or on-call shifts.

Key duties include:

  • Processing medical records requests from patients, physicians, hospitals, life insurance companies, and legal requestors
  • Reviewing authorizations and releasing records according to protocol and legal requirements
  • Generating invoices for third-party records requests and recording payments
  • Scanning and indexing records in Epic
  • Managing work queues and completing DCS indexing tasks to productivity and quality standards
  • Answering department calls and routing messages appropriately
  • Recording information in the EHR and reporting errors for resolution
  • Providing courteous, professional service to internal and external customers
Requirements & Qualifications
  • High school diploma or equivalent required
  • Medical office experience preferred
  • Experience answering phone calls
  • Experience with electronic medical records and/or scanning preferred
  • Prior EMR experience preferred, including Epic, GEMMS, or similar systems
  • Excellent verbal communication skills
  • Strong organizational and analytical skills
  • Ability to multitask
  • Working knowledge of Microsoft Word, Excel, and Outlook
