Responsible for maintaining health information, medical supplies, and inventory information. This position also provides coverage answering phones and greeting visitors.
The LPN/RN, if filling this role, is responsible for carrying out assigned duties in accordance with current federal and state regulations and established company policies and procedures.
Essential duties include:
- Organize files and maintain medical records daily and upon discharge
- Clean and maintain chart dividers and binders
- Rotate medical records annually and tag records for shredding according to facility destruction policy
- Audit physician visits and notify physicians of required visits
- Maintain file cabinets and stock forms as needed
- Prepare envelopes for mailing to physicians
- Track returned telephone orders, review for signature and date, and file in medical records
- Fax and retrieve faxes for the nursing department and distribute to the appropriate individuals
- Prepare admission and re-admission chart packets
- Audit charts to ensure proper order and complete information
- Audit discharge records before filing
- Prepare and distribute resident hall rosters
- Photocopy materials as needed
- Greet, assist, and direct residents and providers in person and by phone
- Copy records under HIPAA privacy office direction for insurance, legal, or other approved purposes
- Maintain resident confidentiality
- Perform other duties assigned by administrative staff
Requirements & Qualifications
- Must be at least 18 years of age
- At least 1 year of medical records experience required
- Medical Records Certification preferred
- LPN or RN preferred but not required
- Must meet health assessment requirements, including a two-stage Mantoux skin test and annual one-step testing
