Medical Records Specialist

Assist in planning, organizing, directing, and evaluating the overall operation of the Medical Records/Intake program.

Support policy, procedure, system development, and implementation for the Medical Records/Intake program.

Help keep staff informed of new changes and relevant issues.

Ensure the accuracy, content, and completeness of client files.

Provide relief and coverage for the outpatient office as needed.

Responsible for coding diagnoses and ensuring current diagnoses are reflected in the medical record.

Maintain and establish client medical records files.

Ensure terminated files are complete prior to discharge entry.

Copy records for Social Security Disability, attorneys, and consumers as requested per agency policy.

Perform daily scanning and maintenance of medical records.

Sort terminated medical records for storage when no longer needed.

Maintain client confidentiality at all times.

Respond to emergency situations in a timely manner.

Conduct monthly inspections of medication storage and sign-in/sign-out logs, and coordinate disposal of outdated medications.

Work effectively with team members in a multidisciplinary environment and independently when needed.

Answer phones, greet consumers, and provide general clerical support including copying, faxing, mailing, and scanning.

Screen potential consumers using the Admission Outpatient form in Avatar.

Instruct new admissions on required documentation for their first appointment.

Schedule appointments for clinicians, nurse practitioners, and psychiatrists.

Place reminder calls and follow-up calls for missed appointments.

Enter client medications and allergies into Order Connect.

Process billing documents, log them in patient registers, and forward them to the main office as required.

Process cash payments, verify Medicaid and insurance coverage, and complete vitals in the electronic health record.

Perform other duties as assigned.

Requirements & Qualifications

Qualifications

  • High School Diploma or GED
  • Computer and typing skills
  • Strong organizational skills
  • Successful criminal record check
  • Successful drug screening test

  • Ability to complete record keeping in a timely manner
  • Ability to work effectively with diverse personalities

Additional Requirements

  • Ability to reach, push, pull, stoop, bend, stand, walk, and lift up to 20 pounds
  • Valid driver's license and safe driving record if required
  • Ability to obtain Kentucky notary certification if required
  • CPR certification within one month of employment and maintain certification
