Overview
The Medical Records Coordinator is responsible for preparing and maintaining client charts, including tracking orders and supporting accurate, secure patient health records in compliance with legal, regulatory, and organizational standards.
Job Duties
- Log orders in the proper place
- Maintain client charts in a neat and up-to-date manner
- Complete work to meet schedule requirements
- Maintain a safe, clean, and orderly work environment
- Perform other job-related duties as required
- Maintain compliance with agency policies and procedures
- Assemble, review, and maintain patient medical records for accuracy and completeness
- File, retrieve, and archive medical records, paper and/or electronic
- Enter, update, and verify patient information in EHR systems
- Ensure compliance with HIPAA and other privacy regulations
- Release medical records in accordance with authorization and legal requirements
- Audit records for missing documentation and follow up with providers as needed
- Respond to internal and external requests for medical information
- Maintain record retention and destruction schedules
- Collaborate with healthcare providers, billing, and administrative staff
- Prepare reports and assist with audits or inspections when required
Requirements & Qualifications
Qualifications
- Minimum of 2 years of experience in medical records, or a comparable combination of education and experience
- Working knowledge of medical records and guidelines regarding doctor orders
- Knowledge of proper filing and recordkeeping procedures
- High school diploma or equivalent required
- Associate degree or certification in Health Information Management preferred
- Knowledge of medical terminology
- Familiarity with EHR systems and medical record workflows
- Strong attention to detail and organizational skills
- Ability to maintain confidentiality and handle sensitive information
- Basic computer and data entry skills
