The Health Records Specialist is responsible for processing criminal background checks, drug screenings, and medical records for CNA (STNA) students entering healthcare facilities for clinical rotations. This role is essential for timely record processing, helping to reduce delays in program admissions and student clinical placements.
Records Processing
- Processes all CNA (STNA) health records, background checks, and drug screen clearances.
- Reviews, analyzes, and interprets documents submitted by CNA (STNA) students to determine completion of health record requirements.
- Advises students of any deficiencies in their health records and indicates appropriate corrective action.
- Adheres to federal and state regulations and college practices and guidelines to ensure institutional compliance.
- Uses the student information system, document management/workflow system, and other electronic tools with technical competence.
- Scans and indexes background check reports, student waivers, and adverse letters.
- Maintains student health information to document encounters and actions taken.
Department Support
- Maintains strict confidentiality and sound ethical judgment regarding privacy.
- Provides guidance to students on documentation requirements and assists with navigating the health records system.
- Answers office-related questions and provides guidance on department and campus policies and processes.
- Monitors office communications by phone, email, and chat to resolve inquiries.
- Contributes to the office goal of successfully servicing students.
- Assists with the quarterly report of health records compliance.

Requirements & Qualifications
- High School Diploma or GED.
- Two years of progressively responsible experience in a healthcare-related field.
- An appropriate combination of education, training, coursework, and experience may qualify a candidate.
- State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
