AYA Program Assistant

University of Florida

The AYA Program Assistant provides administrative, operational, and programmatic support to the Adolescent and Young Adult (AYA) Cancer Program at UF Health under the direction of the Medical Director and Executive Administrators. Key priorities include AYA program meetings, ordering and purchasing program infrastructure needs, supporting reporting activities, interdisciplinary outreach, data and research collection and maintenance, supporting educational and advocacy activities, and event planning. The role aims to improve patient care, expand access to resources, and strengthen the national knowledge base for AYAs with cancer.

Responsibilities include providing logistical and administrative support for day-to-day AYA Program operations; supporting meetings, events, educational seminars, and support groups; preparing program reports, spreadsheets, and expense documentation; supporting data collection and tracking of clinical metrics, program evaluation, and research projects; assisting with preparation, formatting, and submission of reports, abstracts, and grant materials; identifying and coordinating new grant and endowment opportunities.

Additional duties involve maintaining internal databases for tracking outcomes and patient participation; collaborating with communications teams to create marketing materials; serving as a liaison with internal departments, faculty, external vendors, and community partners; monitoring program timelines and ensuring compliance with institutional and grant requirements; assisting with onboarding and task delegation for student assistants or trainees; contributing to program development by collating and maintaining data; and collaborating with leadership to prepare data for presentation and review.

Requirements & Qualifications
  • Bachelor's degree or equivalent combination of education and experience.
  • Good communication skills.
  • Experience in customer service, healthcare, or service industry preferred.
