Key Responsibilities:
- Coordinate and schedule surgical procedures with hospitals, ambulatory surgery centers (ASCs), and surgical teams
- Obtain prior authorizations and verify insurance eligibility for all surgical cases
- Communicate surgery details, pre-op instructions, and logistics clearly to patients, families, and facility staff
- Submit clean claims and follow up on outstanding accounts receivable
- Process Explanations of Benefits (EOBs), manage denials, and file appeals as needed
- Ensure accurate coding compliance (CPT, ICD-10, HCPCS) for orthopaedic and surgical procedures
- Post payments, reconcile accounts, and generate billing reports
- Coordinate with referring physicians and facilities regarding scheduling and patient records
- Maintain up-to-date knowledge of payer requirements, fee schedules, and billing regulations
- Support patients with billing questions, payment plans, and financial assistance inquiries
Requirements & Qualifications
- Minimum 2 years of experience in surgery scheduling and/or medical billing; orthopaedic or surgical specialty experience strongly preferred
- Experience with athenahealth EHR (primary practice management system)
- Proficiency in CPT, ICD-10, and HCPCS medical coding
- Thorough understanding of insurance verification, prior authorizations, and referral processes
- Working knowledge of Medicare, Medicaid, managed care, and commercial payer guidelines
- Familiarity with CMS billing regulations and HIPAA compliance requirements
- Experience with claim submission, denial management, and appeals processes
- Ability to read and interpret EOBs and remittance advices
- Strong organizational skills with ability to manage multiple cases and deadlines simultaneously
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- High school diploma or equivalent required; associate's or bachelor's degree in healthcare administration or related field preferred
- Medical billing certification (CPC, CPB, or CBCS) a plus
- Spanish speaker preferred
