Patient Accounts Representative

William Newton Hospital

Responsible for compiling itemized patient bills, verifying patient insurance coverage, computing patient insurance benefits, mailing patient bills, preparing claims for submission to insurance, and following up on insurance claims. Also prepares monthly financial statements, works closely with medical staff, and participates in performance improvement and quality improvement activities.

  • Maintains financial records including deposits, contractual allowances, refunds, returned checks, write-offs, revenue, and accounts sent to collections
  • Verifies health insurance information, determines patient charges, and completes insurance forms for submission to the proper agencies or insurance companies
  • Balances books and prepares monthly financial and statistical reports as required
  • Reviews and acts on Financial Assistant packets in a timely manner when required
  • Maintains knowledge of insurance pre-certification, referrals, appeals, timely filing deadlines, and policy changes
  • Keeps current patient contact information in the system to help prevent revenue loss
  • Maintains billing software systems to support proper claim processing and accurate data
  • Answers telephones and routes information to the appropriate personnel
  • Communicates professionally with patients and families, including explaining statements, insurance coverage, and financial responsibilities
  • Works with insurance companies and patients to resolve billing issues
  • Uses resources effectively to ensure timely filing and payment of claims
  • Resolves overpayments
  • Documents correspondence and conversations with patients, insurance companies, government agencies, and third-party payers
Requirements & Qualifications

Professional requirements

  • Adheres to the dress code and maintains a neat, clean appearance
  • Completes annual educational requirements
  • Maintains regulatory requirements, including state, federal, and CMS regulations
  • Demonstrates flexibility, organization, and the ability to function well in stressful situations
  • Reports to work on time and as scheduled, and completes work within designated timeframes
  • Wears identification while on duty
  • Uses computerized time systems correctly
  • Attends staff meetings and reads staff communications to ensure policy compliance
  • Completes training as required by the employer and position standards
  • Represents the office or clinic in a positive and professional manner
  • Participates in performance improvement and quality improvement activities, committee meetings, and management meetings as appropriate
  • Complies with organizational policies regarding ethical business practices
  • Communicates the mission, vision, core values, ethics, and goals of the office or clinic
  • Maintains patient confidentiality at all times in accordance with HIPAA guidelines
  • Maintains cooperative working relationships with physicians, departments, and staff
  • Follows department operations, fire safety, and infection control policies and procedures

Regulatory requirements

  • High school diploma or equivalent
  • Coursework in bookkeeping or accounting preferred
  • Two years of experience in billing, insurance, and office procedures in a medical setting preferred
