Position: Office Services Coordinator
Location: Stuart, FL
Duration: 12-month contract
Total hours/week: 40
Work schedule: 2 days 9:30 AM–6:00 PM, 2 days 10:30 AM–7:00 PM, and 1 day 9:00 AM–5:30 PM
The Office Services Coordinator will audit, revise, and submit patient product orders for processing to distribution. This role also includes preparing and submitting order billing directly to patients or insurance carriers.
Key responsibilities include entering and updating customer data in multiple systems, creating or merging patient accounts, auditing data for profit margins, physician credentials, and billing accuracy, transferring patient record data into electronic documentation, quality-checking orders before processing, reviewing billing codes and patient demographics for claims submission, maintaining knowledge of medical terminology and insurance guidelines, resolving order processing issues, and tracking daily production and sales logs.
The position is based in a temperature-controlled office environment and may require occasional evening shifts, weekends, and overtime.
Skills and qualifications
- Knowledge of DME supplies and insurance
- Good computer skills and experience working in multiple systems
- Detail-oriented with strong communication skills
- Ability to adapt to constant changes
- Familiarity with medical terminology, billing, and insurance guidelines
- Ability to read and interpret medical supply publications, technical procedures, and training tools
- Ability to write internal and external business correspondence
- Ability to present information and respond to questions from management, team members, and customers
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages
- Ability to apply intermediate math skills
- Strong problem-solving and analytical reasoning skills
- Knowledge of Microsoft Office applications, Access, or other database software
- Ability to use or learn call center telecommunications software
Education and experience
- High school diploma or GED required
- 1 to 2 years of related experience and/or training, or equivalent combination of education and experience
Other requirements
- Ability to work some evening shifts, weekends, and overtime as needed
