Scheduling Specialist

The Scheduling Specialist serves as the face of the clinic for clients and their families and supports the clinical team by flexibly serving multiple functions at the clinic. This role is responsible for timely and accurate scheduling changes for staff and clients, coordinating the start of service for clients, and providing general facilities support.

Key responsibilities

  • Manage permanent schedules and scheduling variances, including family guidance, BCBA/Senior meetings, senior training meetings, PTO, QTPs, and support services
  • Accurately record client and staff cancellations, reschedules, and other time off to ensure clients receive prescribed treatment hours
  • Execute scheduling-related communications and tasks in a timely manner
  • Implement best practices for scheduling and timely delivery
  • Support treatment delivery goals and KPIs related to provider and client utilization, including make-up time
  • Coordinate appropriate use of administrative time
  • Schedule trainings such as SafetyCare, Relias, and compliance training
  • Partner with Intake to onboard new clients from meet-and-greet through first day of ABA
  • Support additional in-market centers with scheduling operations as needed
  • Greet clients and families as they arrive at the clinic
  • Answer phones and respond to or route requests and information
  • Facilitate communication between the clinic and corporate support functions
  • Assist with new hire welcome and center orientation as needed
  • Support daily operations, cleanliness, team building, logistics, supply management, and organization of the center

Work environment

  • Minimal travel required
  • Largely sedentary role with frequent sitting and computer keyboarding
Requirements & Qualifications

Qualifications

  • High school diploma or GED equivalent
  • At least one year of comparable experience working with clients and/or families in a medical or therapeutic setting, including administrative or customer service experience preferred

Skills and competencies

  • Strong organizational skills with the ability to multitask and meet deadlines
  • Strong attention to detail
  • Experience with multi-line phone systems and office machines such as copiers, postage machines, and fax machines
  • Professional demeanor and strong representation of the organization
  • Excellent verbal and written communication skills
  • Ability to manage self and workload with initiative
  • Knowledge of HIPAA privacy and security rules and regulations
  • Ability to follow ethical guidelines and maintain strict confidentiality
