Scheduling Specialist

The Scheduling Specialist serves as the face of the clinic for clients and families and supports the clinical team by handling scheduling and general clinic support. This role is responsible for accurate scheduling changes, coordinating client start of service, supporting onboarding, and assisting with day-to-day clinic operations.

Key responsibilities

  • Manage permanent schedules and scheduling variances
  • Record client and staff cancellations, reschedules, and time off accurately
  • Execute scheduling-related communication and tasks in a timely manner
  • Support best practices for scheduling and treatment delivery goals
  • Coordinate administrative time and training schedules
  • Assist with onboarding new clients from meet-and-greet through first day of ABA
  • Support additional centers with scheduling operations as needed
  • Greet clients and families, answer phones, and route requests or information
  • Facilitate communication between the clinic and corporate support teams
  • Assist with new hire welcome and center orientation
  • Support daily clinic operations, cleanliness, logistics, supply management, and organization
Requirements & Qualifications

Education

  • High school diploma or GED required

Experience

  • At least 1 year of comparable experience working with clients and/or families in a medical or therapeutic setting preferred
  • Administrative or customer service experience preferred

Skills and competencies

  • Strong organizational and multitasking skills
  • Strong attention to detail
  • Experience with multi-line phone systems and office equipment
  • Professional demeanor and communication skills
  • Ability to manage workload and work independently
  • Knowledge of HIPAA privacy and security rules
  • Ability to maintain confidentiality and follow ethical guidelines
