Exact Billing Solutions is a revenue cycle management team specializing in substance use disorder, mental health, and autism care fields. The Medical Records Specialist processes, fulfills, and tracks medical record requests to support payer audits, legal requests, and continuity of care, ensuring accuracy and compliance.
Responsibilities include retrieving medical records from EMR and document management systems, compiling and reviewing records for accuracy and completeness, uploading records to payer portals, mailing records when needed, maintaining documentation, prioritizing requests, communicating with internal teams and payers, and ensuring HIPAA compliance.
Requirements:
- High school diploma or equivalent required; Associate degree in Health Information Management, Business Administration, or related field preferred
- 1-3 years experience in medical records, health information management, or high-volume healthcare administrative role
- Experience navigating EMR systems
- Solid understanding of HIPAA, HITECH Act, and Release of Information laws
- Intermediate proficiency in Microsoft Office and Adobe Acrobat
- Ability to audit records for accuracy and prevent data breaches
- Strong communication skills
- Ability to manage competing deadlines and identify missing documentation
