Audiology Patient Scheduler

The Audiology Patient Scheduler coordinates patient appointments for audiology services within an ENT practice. Responsibilities include scheduling, rescheduling, and confirming audiology appointments such as hearing tests, hearing aid fittings, and follow-ups. The role requires coordination based on provider availability, testing requirements, and patient needs, ensuring appropriate appointment types and time allocations. It involves providing patients with preparation instructions and necessary documentation.

The position entails verifying patient insurance eligibility, benefits, and coverage for audiology services prior to appointments, documenting co-pays, deductibles, and coverage limitations accurately, and clearly communicating financial responsibility to patients.

The scheduler obtains and tracks prior authorizations for audiology procedures, hearing aids, and diagnostic testing, ensures referrals are received and attached to patient appointments when required, and follows up with insurance companies, referring providers, and patients to prevent delays in care.

Additional responsibilities include maintaining accurate patient records in the EMR system, handling incoming calls related to scheduling, insurance, and general inquiries, working closely with audiologists, medical assistants, and front desk staff to ensure smooth operations, and monitoring schedules for gaps, cancellations, and optimization opportunities.

Qualifications include a high school diploma or equivalent, minimum 1–2 years of medical scheduling experience, preferably in ENT or audiology, and proven experience with insurance verification and prior authorizations.
