The Patient Care Coordinator serves as the first point of contact for patients and visitors, ensuring a welcoming and professional environment. This role manages front desk operations, scheduling appointments, verifying insurance, collecting payments, and supporting clinical staff with administrative tasks. The ideal candidate demonstrates excellent communication, attention to detail, commitment to patient care and confidentiality, and maintains professional grooming and appearance.
Responsibilities include:
- Checking patients in and out courteously
- Asking patients for Google reviews
- Maintaining consistent communication across Teams, Klara, and email
- Verifying primary and secondary insurance prior to visits
- Following HIPAA regulations and maintaining confidentiality
- Collecting co-pays, co-insurance, deductibles; obtaining financial consents
- Documenting payment notes and reconciling payments
- Maintaining provider schedules
- Scheduling and confirming patient appointments
- Maintaining and updating patient charts
- Creating and preparing superbills timely and accurately
- Managing patient waiting areas
- Resolving patient grievances with empathy
- Inputting correct payor information into EMA
- Collecting pertinent patient information at check-in
- Updating prior authorization logs
- Completing end-of-day closing tasks
- Collecting cosmetic sales
- Maintaining reception and restroom cleanliness
Required skills and experience:
- Strong customer service and interpersonal skills
- Effective verbal and written communication
- Knowledge of insurance types (HMO, PPO, POS, Medicare), billing, and documentation
- Proficiency in Microsoft Office, EMA, Lightspeed
- Ability to focus in dynamic situations
- HIPAA confidentiality compliance
- Confidence in processing financial payments
Education:
- High school diploma or equivalent required
- 1-2 years medical office or customer service experience preferred
- Familiarity with HIPAA regulations and healthcare operations
- Additional medical office administration training/certification preferred
Equipment/Software: Microsoft 365 apps, Fax, Email, iPad, EMA, Lightspeed, Klara, POS/CC Terminal, Availity, Insurance Portals, Telehealth
