As a Medical Records Specialist, you will manage and organize all medical and related documents for personal injury cases, including ordering and following up on medical, billing, and radiology records, verifying subrogation liens, and maintaining records in the case management system (Filevine). You will perform OCR and redaction of client records to prepare them for Case Managers and Paralegals, manage a large caseload, meet deadlines, and maintain communication with medical providers and clients.
Key responsibilities include:
- Ordering medical, billing, and radiology records with or without affidavit
- Following up bi-weekly on pending records, paying invoices, and scheduling couriers
- Uploading and saving all received records to the system
- OCR and redacting client records for use by Case Managers and Paralegals
- Searching for subrogation liens such as hospital, Medicaid/care, or child support
- Verifying balances with medical providers for demands or mediation
- Managing a large caseload, emails, checklists, and deadlines effectively
Qualifications:
- Minimum 2 years of experience, preferably in a plaintiff's personal injury law firm
- Exceptional verbal and written communication skills
- Excellent time management, multitasking, and critical thinking abilities
- Proficiency in Microsoft Office Suite and case management software (Needles preferred)
- Strong organizational skills with attention to detail
- Professional appearance and ability to maintain discretion with confidential information
Physical requirements include ability to remain stationary up to 50% of the time, occasional movement within the office, and normal business hour availability.
