Medical Records Retrieval Specialist

This role supports medical record retrieval efforts for quality, compliance, and risk adjustment programs. The position is primarily remote, focused on accessing electronic medical records (EMR) using secure, HIPAA-compliant systems, with occasional onsite retrieval assignments requiring travel.

Primary responsibilities include retrieving medical records from EMR/EHR systems, performing quality checks for completeness and legibility, scanning, indexing, validating, and uploading medical documentation. The role requires maintaining confidentiality and following all privacy and data handling protocols, and communicating professionally with provider offices when access coordination is needed.

Onsite assignments involve medical record retrieval at provider facilities when remote access is unavailable, including local and potentially air travel. Compensation for onsite work is either $20.00 per hour or $3.00 per completed record, whichever is higher, with mileage provided for local travel and policies covering flights, lodging, and rental cars for assigned travel.

Requirements include a high school diploma or equivalent, basic computer literacy with comfort navigating EMR/EHR portals, strong attention to detail and organization, effective communication skills, strict HIPAA compliance, valid driver's license with a clean motor vehicle record, personal insured vehicle, ability to lift up to 25 pounds, and willingness to travel locally and occasionally by air.

Preferred qualifications include experience in medical records, EMR/EHR systems, healthcare administration, or provider-facing roles, knowledge of HIPAA and PHI handling, and prior experience in remote or field-based medical record retrieval.

Work is mainly remote with periodic field assignments. Physical requirements entail sitting for extended periods during remote work and standing/walking during onsite tasks.

Preferred:

  • Experience in medical records or healthcare administration
  • Working knowledge of HIPAA and PHI
  • Prior remote or field-based medical record retrieval experience
