PanCare of Florida is expanding its team with two Medical Records Specialist positions focused on ensuring the integrity, confidentiality, and accessibility of patient health records across clinics. This role supports accurate documentation, organization, and management of medical records, working collaboratively with clinical and administrative teams to protect patient privacy.
Key responsibilities include:
- Processing medical records requests in compliance with HIPAA and organizational policies.
- Verifying authorization forms and releasing records appropriately.
- Tracking and documenting all Release of Information (ROI) activities.
- Managing incoming faxes by sorting, batching, and routing correctly.
- Retrieving medical records promptly for nurses, physicians, front office personnel, and authorized individuals.
- Closing medical records per established protocols.
- Scanning, indexing, and uploading documents into the EHR system.
- Categorizing and routing documents to appropriate providers.
- Maintaining scanning logs.
- Adhering to HIPAA regulations to maintain confidentiality and security of patient information.
- Assisting providers and staff in locating or retrieving records.
- Supporting clinic operations by prioritizing urgent or time-sensitive documentation.
Requirements and experience:
- High School Diploma or equivalent required.
- Minimum of 2 years medical records management experience within a physician office or healthcare setting preferred.
- Minimum of 2 years EMR experience required (eClinicalWorks experience a plus).
- Demonstrated accuracy in data entry and documentation.
- Experience supporting chart audits and regulatory reviews strongly preferred.
