Assistant Medical Records Director

Primarily responsible for assisting the Medical Records Director in managing the daily functions of the Medical Records Department. Tasks include reviewing, completing, and closing deceased or discharged medical records; maintaining and updating medical records policies and procedures according to current state and federal regulations; and providing clerical support to the Medical Records Director.

The role requires maintaining an organized and accessible medical records system, reviewing medical records for completeness and proper order, and having a working knowledge of medical terminology, ICD coding, CPT coding, and HCPCS coding. The candidate must maintain current knowledge of state and federal long-term care regulations related to medical records. An understanding of MDS, Medical Assistance, Medicare, and Social Security programs is essential.

Compliance with HIPAA regulations is mandatory. Additional duties include providing backup coverage for the Medical Records Coordinator, preparing reports of Quality Assurance audits, assisting in archiving, scanning necessary documents, retransmitting required records for appeals or audits, and attending assigned meetings.

The position demands proficiency in reading, writing, communication, computer skills, organizational skills, problem-solving aptitude, and the physical ability to stand for extended periods, bend, push, pull, turn, and lift up to 50 lbs.

Requirements & Qualifications
  • High school diploma or equivalent plus accredited records technician certification, or specialized education from an accredited college/university and/or at least four years of related experience.
  • Computer literacy, including working in a Windows environment and payroll systems.
  • Strong organizational skills and ability to follow directions.
  • Excellent communication and problem-solving skills.
  • Successful completion of pre-employment screenings including criminal background check and Medicaid Exclusion Screening.
  • Proficient in medical terminology and coding (ICD, CPT, HCPCS).
  • Knowledge of state and federal long-term care regulations.
  • Understanding of MDS, Medical Assistance, Medicare, and Social Security programs.
  • Ability to comply with HIPAA regulations.
  • Physical ability to perform job duties including lifting up to 50 lbs.
