Medical Records Coordinator

We are looking for the best LPN or RN to be our next Medical Records Coordinator at our Blue Valley facility, providing exceptional care to our residents. Come join our amazing team of healthcare professionals!

As Medical Records Coordinator, you will manage patient health information by ensuring patient records remain accurate, complete, current, confidential, and compliant with federal and state regulations, HIPAA, and GHC policies and procedures. Ensure accurate and current diagnostic coding to assure appropriate billing first time, to minimize accounts receivable and improve cash flow.

Shift: Day

Responsibilities:

  • Maintain the Diagnosis List/Sheet in the electronic system. Perform ICD coding as trained and in consultation with Nursing/Clinical Reimbursement Coordinator (CRC) or Clinical Care Manager (CCM).
  • Create medical records for all new admissions.
  • Maintain accurate order of open records, both paper and electronic by filing forms, thinning records, notifying physicians to sign admission/monthly orders and Medicare certifications timely, monitoring quality control documents, as directed.
  • Perform routine audits of medical records upon admission, throughout the stay, and discharge to monitor compliance with policies regarding documentation, physician visits, timeliness, etc.
  • Maintain forms/office supplies inventory, as directed by DN or designee.
  • For centers with Medication Administration Records (MARs) and Treatment Administration Records (TARs) supplied by pharmacy, coordinate with pharmacy regarding additions/deletions of patient MARs/TARs and other pharmacy-supplied forms.
  • Process medical record requests:
    • Confirm all health information requests with DN or Administrator to comply with HIPAA and GHC policies and procedures.
    • Coordinate with Corporate Risk Management Department to ensure clearance for record release to outside sources other than payers and those identified by patient during admission process.
    • Upon Center/Risk Management clearance and direction, retrieve, copy, and forward information from the medical record.
  • Maintain closed records in accordance with Company policies and procedures.
  • Respond to telephone inquiries concerning medical records and correspondence as directed by center management.
  • Perform other duties as requested.

Qualifications & Requirements:

  • High school graduate or equivalent.
  • LPN or RN license in the state of Kansas.
  • Experience with ICD coding preferred.
  • Ability to read, write, speak, and understand English to ensure safety and wellbeing of patients and visitors.
  • Effective communication skills with patients, family members, staff, and external requestors of medical records and/or information.
  • Sufficient computer skills to perform duties.

Requirements & Qualifications
  • High school graduate or equivalent.
