Responsibilities include maintaining and updating patient medical records in electronic health record (EHR) systems, ensuring accuracy and completeness of patient information, scanning and uploading paper records, retrieving medical records for healthcare providers, processing record requests while complying with privacy laws such as HIPAA, verifying patient information before release, monitoring records for deficiencies, assisting with chart audits and quality assurance, working with third party services to complete record requests, navigating multiple data systems, coordinating with front desk, billing, and clinical staff, and maintaining strict patient confidentiality.
The role requires sitting and standing in an office setting, some bending and manual dexterity. Knowledge of HIPAA guidelines, medical terminology, accreditation and regulatory requirements, and computer proficiency are essential. The position also requires strong customer service, communication skills, and the ability to work well with patients, providers, and clinical staff.
High school diploma or equivalent required; degree in Health Information Management preferred.
Previous experience in a medical office or records role is preferred.
Familiarity with EHR systems such as Epic, Cerner, MedEvolve.
Basic knowledge of medical terminology and healthcare privacy regulations (HIPAA).
Strong attention to detail and organizational skills.
Basic computer and data entry skills.
Effective communication skills with physicians, patients, and the public.
Customer service skills and ability to establish good working relationships internally and externally.
