Medical Records Processing Specialist

This entry-level onsite position in Norman, OK involves processing medical records requests efficiently and accurately, maintaining 100% accuracy in Release of Information (ROI), meeting turnaround times, validating and authorizing PHI release, performing quality checks, and ensuring confidentiality and compliance. Candidates will also provide excellent customer service, manage work areas professionally, and update facility guides as needed.

Key responsibilities include:

  • Complete incoming ROI requests timely
  • Maintain 100% ROI accuracy
  • Complete STAT requests within an hour; other requests within 24 hours
  • Keep processing queues current
  • Validate and authorize PHI release per procedure
  • Conduct quality checks for accuracy, confidentiality, and invoicing
  • Handle medical records securely during transport, storage, and disposal
  • Complete legal affidavits as needed
  • Scan ROI requests into patient charts
  • Follow ROI policies for HealthMark and clients
  • Maintain professional appearance and clean work environment
  • Provide attentive, respectful customer service
  • Manage patient complaints and de-escalate when necessary
  • Communicate effectively with customers
