Medical Records / Central Supply Specialist

Your Job Summary

Central Supply / Medical Records will be responsible for maintaining resident medical records in accordance with State and Federal regulations, professional standards of practice, and company policies and procedures. They are responsible for ensuring the management and accuracy of medical resident records from pre-admission to post discharge.

Qualifications

  • Minimum of 3 years’ experience in medical records in skilled nursing facility or healthcare related field.
  • Experience with ICD coding preferred.
  • Knowledgeable of medical terminology, laws, and regulations, specifically as they pertain to long term care.
  • Effective communication skills to maintain positive relationships with residents, families, staff, physicians, consultants, providers, and governmental agencies.
  • RHIA or RHIT credential preferred.

Responsibilities

  • Manage resident health information ensuring records are accurate, complete, current, confidential, and compliant with federal and state regulations, HIPAA, and company policies.
  • Ensure accurate and current diagnostic coding for appropriate billing and improved cash flow.
  • Establish and execute procedures for collection, coding, indexing, and filing/retrieving of medical records; perform ICD coding; create medical records for all new admissions.
  • Maintain knowledge of federal and state laws on medical records; perform monthly audits on admissions, discharges, and routine Quality Assurance.
  • Ensure incomplete records are returned for correction.
  • Abstract information from records as authorized for insurance companies and third-party payers.
  • Maintain registries for resident admissions and discharges.
  • Maintain accurate tracking systems and review documentation for compliance.
  • Prepare reports for Quality Assessment and Performance Improvement (QAPI) and participate in Triple Check Committee meetings.
  • Control release of information within State, Federal, and HIPAA regulations; protect medical records from loss, destruction, and breaches of confidentiality.
  • Prepare and maintain supplies of charts for admission and readmission; provide nursing stations with proper chart forms.
  • Maintain daily census listing, room assignment listing, physician/resident list, and admission/discharge/transfer register.
  • Prepare requests for medical information as directed.
  • Perform other duties as assigned.
Requirements & Qualifications
