The Holden Comprehensive Cancer Center at the University of Iowa is seeking a Medical Records Retrieval Specialist to help patients access the care they need efficiently. The primary responsibility is ensuring all necessary patient records are received prior to their first appointment to facilitate effective treatment planning. This includes reviewing referrals, contacting internal and external providers, and acting as a liaison between patients and the clinic.
The role anticipates patient needs and serves as a patient advocate, employing independent judgment to assist patient requests. Responsibilities include communication with clinical departments to reduce referral delays, gathering previous testing records, maintaining detailed records of activities, and providing exceptional customer service to patients and providers. Collaboration with multidisciplinary teams and serving as a mentor and role model for staff are also key aspects.
Additional duties include monitoring referral workflows, coordinating with nursing on scheduling and testing, communicating potential delays, and ensuring all processes comply with UI Health Care policies. The position requires onsite presence Monday to Friday, 8:00 am to 5:00 pm hours.
Required qualifications include a bachelor’s degree in Business Administration, Communications, or related field; 1 year of administrative experience; excellent communication and organizational skills; ability to work independently and in teams; and proficiency with Microsoft Office and database applications.
Desirable qualifications include previous medical records retrieval experience, clinical scheduling and customer service experience, knowledge of oncology medical terminology, and experience with hospital or ambulatory clinic operations and EMR systems like Epic.

- Bachelor’s degree in Business Administration, Communications, or related field, or equivalent combination of education and experience
