Patient Relations Coordinator

Ackerman Cancer Center

Ackerman Cancer Center, a pioneering leader in cancer treatment and the only physician-owned proton center in the world, is seeking a dedicated Patient Relations Coordinator. This role manages patient interactions including answering multi-line phone calls, scheduling appointments, verifying insurance eligibility, and collecting co-pays. The coordinator assists with medical records, coordinates physician schedules, and ensures accurate documentation in the Electronic Medical Records (EMR) system, also performing general office duties to maintain an efficient, welcoming healthcare environment.

Essential job functions include:

  • Providing professional telephone services, scheduling appointments, and sending reminders
  • Greeting and checking in patients, assisting with paperwork, entering information into the EMR system
  • Verifying and updating patient demographics and insurance eligibility, obtaining prior referrals
  • Processing co-payments and tracking patient financial responsibilities
  • Coordinating appointments with referring physicians and scheduling follow-ups and physician-ordered tests
  • Tracking and updating physician schedules
  • Obtaining, scanning, and attaching medical records to patient charts
  • Maintaining the waiting room and preparing refreshments
  • Making reminder calls for labs, follow-ups, and upcoming visits
  • Generating daily clinical summaries and weekly demographic compliance reports
  • Obtaining and uploading patient photos for charts

Requirements:

  • Bachelor's Degree required
  • Strong organization, time management, and attention to detail
  • Excellent telephone etiquette and communication skills
  • Professional, friendly, and confident interpersonal skills
  • Knowledge of medical terminology and insurance verification processes
  • Proficiency in Microsoft Office (Excel, Outlook, Word) and standard office equipment

Preferred:

  • Medical office experience
  • Experience with multi-line phone systems and Electronic Medical Records (EMRs)
  • Bilingual proficiency is a plus
  • Knowledge of insurance verification

Work Hours: Monday - Friday, 8:00am-4:30pm
