The Patient Scheduler is responsible for managing incoming and outgoing calls to efficiently schedule appointments for an assigned patient population. This role also includes performing various administrative tasks such as receptionist duties, clerical support, record-keeping, and other essential functions to ensure seamless patient access and quality care in an outpatient medical setting.
- Register, schedule, and reschedule appointments for assigned patients, ensuring timely and accurate scheduling of all clinic visits.
- Manage and coordinate patient referrals to other healthcare providers and services to ensure comprehensive care.
- Confirm all scheduled clinic appointments daily to ensure accuracy and prevent scheduling conflicts.
- Order, prepare, and generate appropriate medical records for each patient visit, maintaining up-to-date and accurate records.
- Receive, screen, and coordinate telephone calls from healthcare providers and assist with inquiries or scheduling requests.
- Assist in maintaining and updating provider contact details for smooth operations.
- Receive and review incoming correspondence, forwarding it to appropriate staff for timely processing.
- Enter and update patient information, appointment details, special instructions, and jurisdiction data into the system daily.
- Perform administrative duties including answering phones, making outgoing calls, faxing, filing confidential documents, and using internet and email functions.
- Support clinic operations by handling cancellations, assisting special projects, and coordinating with billing and insurance departments.
Requirements & Qualifications
- High school diploma or equivalent.
- One to two years of experience in healthcare or medical office setting preferred.
- Experience with electronic medical records (EMR) systems such as Epic strongly preferred.
- Prior experience in patient registration, insurance verification, or front office administrative work in clinical environment a plus.
- Knowledge of patient registration procedures, insurance verification, and healthcare billing practices.
- Familiarity with electronic medical records (Epic) and medical terminology.
- Understanding of HIPAA regulations and best practices for patient confidentiality and data accuracy.
