Processing Assistant III - Registration

This position is part of the Registration team for Craven County Health Department / Craven County Community Health Center. The primary purpose of this position is to process patients when they check in, answer questions, hand out informational pamphlets, and accept information forms from patients for processing.

The Processing Assistant III serves each person who comes into the Health Department for services or information and interacts closely with nursing staff in each clinic. For example, notifying the triage nurse when a patient presents with communicable symptoms. Information given to clients is broad and kept general within parameters. The employee cannot quote costs for services applicable to the sliding pay scale but can inform patients that charges are based on income or maximum amounts charged.

This Processing Assistant rotates with other assistants regularly for cross-training purposes and handles walk-in patient service procedures (excluding established maternity patients and WIC/Nutrition services). The assistant must be familiar with clinic/program requirements such as insurance applicability and pre-payment needs.

Responsibilities include calling patients to the window using a number system, greeting cordially, updating demographic information, conducting interviews to gather financial information (Medicaid, commercial insurance, self-pay), and answering questions about clinic routine and eligibility for services.

The assistant is responsible for printing updated registration sheets, reviewing and updating patient personal data for certain clinics, investigating or noting error reports (e.g., change of address), entering financial information into computer accounts, and scanning photo ID, Medicaid, and insurance cards.

They complete Encounter Forms for MNT service visits only and keep Encounter Forms, HIPAA Notices of Privacy Practices, and other forms properly filed for the appropriate clinics.

Qualifications include graduation from high school and at least one year of office assistant or secretarial experience, or an equivalent combination of training and experience.

Knowledge of office procedures, ability to use various office equipment including computers and typing skills, good communication skills and telephone etiquette, ability to record and compile information following guidelines, and ability to screen and route communications independently are required.

Special Requirements: Subject to SBI criminal history record check prior to hire. Other duties as assigned. May assist in disaster situations as needed.

  • Strong communication and interpersonal skills with courtesy and tact
  • Ability to record and compile information based on guidelines
  • Ability to screen communications and respond or route inquiries appropriately
  • Ability to gather and provide information regarding work processes and procedures
