We are seeking a highly organized and detail-oriented Bilingual Administrative Assistant to support our homecare operations in Pennsylvania. The ideal candidate must be fluent in both Spanish and English and have prior experience in homecare coordination, intake, insurance processing, and administrative support. This role requires strong communication skills, knowledge of homecare workflows, and hands-on experience with HHAeXchange.
Responsibilities include providing administrative support such as data entry, filing, scheduling, and document management; coordinating caregiver and client schedules through HHAeXchange; processing patient intake and onboarding new clients; verifying and processing insurance information; communicating professionally with service coordinators, case managers, insurance representatives, caregivers, clients, and healthcare providers; maintaining accurate and confidential patient and caregiver records in compliance with company policies and Pennsylvania regulations; assisting with compliance documentation and homecare operational requirements; conducting client outreach and supporting marketing initiatives to grow agency census; building professional relationships with referral sources and service providers; visiting clients’ homes as needed for intake, documentation, or care coordination; answering phone calls, emails, and inquiries in both Spanish and English; and transcribing medical notes accurately and timely.
Qualifications require prior experience with HHAeXchange and homecare intake and insurance processing, bilingual proficiency in Spanish and English, strong understanding of insurances, EVV, and homecare operations, effective communication skills with various healthcare professionals and clients, marketing and client engagement experience preferred, strong organizational and multitasking skills, proficiency in Microsoft Office and Google Workspace, ability to maintain confidentiality and professionalism, willingness to travel and conduct home visits, and preferred Associate’s or Bachelor’s degree.
