As a Surgery Scheduler, you will work as a team with medical assistants and assist with procedure/surgical set-up, booking with hospital/surgery centers, responding to patient messages, submitting authorizations for surgery and post-op physical therapy, completing patient forms, data entry, scheduling appointments, and sending out for specific studies when needed.
Responsibilities include:
- Book surgeries with hospital/surgery centers and notify patients.
- Educate patients on the surgery process.
- Prepare for daily surgical procedures by ensuring all medical records, test results, and films are available for the physician.
- Send PCP/Cardiologist pre-op orders.
- Ensure all records for surgeries are received by hospitals or surgery centers.
- Schedule pre-op/post-op appointments and send post-op x-ray orders.
- Submit authorizations for surgery and post-op physical therapy/DME.
- Document all patient correspondence in OfficeAlly (in person, phone, fax, or email).
- Review pharmacy requests for prescription refills per physician protocol.
- Obtain and review all test results and reports ordered by physicians; present abnormal results promptly.
- Manage workers' compensation authorizations and work status reports.
- Complete patient disability forms for physician approval.
- Scan/file patient documents into OfficeAlly.
- Comply with HIPAA and governmental safety protocols.
- Consistently meet surgical productivity standards as defined.
Educational Requirements:
- High school degree
- Medical Assistant Certification preferred
- Orthopedic knowledge preferred
Qualifications and Experience:
- Excellent customer service and communication skills
- Knowledge of ICD10 and CPT Codes
- Working knowledge of practice management and word processing software
- Experience with EMR (OfficeAlly preferred)
- Knowledge of human anatomy
- Bilingual in Spanish, Vietnamese, Chinese, or Korean preferred
