The Medical Records Specialist supports Health Information Management and outpatient sites by organizing, evaluating, and processing medical records requests. Responsibilities include compiling and maintaining medical records in compliance with medical, legal, and regulatory standards, processing phone and fax requests, printing images from PACS, managing documentation for films/CDs, and handling a high volume phone queue. The role requires working with patients and provider offices to complete release of information in accordance with protocols and HIPAA. Ensures timely preparation and release of records for patients. The job demands attention to workflow, accuracy, HIPAA compliance, and customer service in a fast-paced clinic environment.
Additional duties include retrieving patient records, using electronic systems such as PACS, EMS, EPIC, Emix, maintaining confidentiality, processing release of information requests, documenting and communicating workflow needs, and coordinating with legal teams. The role encompasses managing mail, postage, supplies, and communication with medical personnel. Physical work involves moderate requirements including standing, walking, and manual dexterity to operate office equipment.
Qualifications: High school diploma or GED required, Associate's degree preferred. Minimum 1 year recent related experience. Familiarity with medical terminology and strong customer service, computer, communication, organization, and multitasking skills required. Current BLS certification necessary. Knowledge of medical records systems, radiology procedures, HIPAA, and office administration essential.
