Medical Records Specialist 1

The State of Connecticut, Department of Mental Health and Addiction Services (DMHAS) seeks a detail-oriented and highly organized Medical Records Specialist 1 to join their team at Southwest Connecticut Mental Health System (SWCMHS) in Bridgeport, CT. This full-time, first shift role (Monday - Friday, 8:00am - 4:30pm) involves maintaining accuracy, security, and accessibility of patient records, supporting clinical teams by ensuring complete and timely documentation, safeguarding protected health information per HIPAA, and complying with The Joint Commission standards.

Key responsibilities include record maintenance, retention, archiving, storage following retention policies, HIPAA compliance to protect patient confidentiality, security and integrity of electronic records, and generating reports on medical record activities such as tracking requests, record volume, and turnaround times.

This role supports behavioral health services including inpatient, outpatient, assertive community treatment, community support for adults with severe behavioral disabilities, and services for special populations provided by SWCMHS.

Candidates must undergo a comprehensive medical examination including drug screening upon conditional offer. Adherence to Connecticut's Drug Free Workplace policy is required.

Additional duties cover maintaining files like admissions, discharges, diagnostic test results, case histories; inspecting reports for accuracy; medical coding using international classification systems (ICD, WHO, DSM3, DRG); preparing statistical reports and documentation for state and federal agencies; and potentially attending court hearings.

Selection considers qualifications, experience with medical records and coding, medical terminology, electronic health record systems, healthcare privacy regulations, and report preparation. Experience in behavioral health or hospital settings is preferred.

Requirements & Qualifications
  • Four (4) years experience maintaining medical records and preparing statistical reports
  • Knowledge of medical terminology, human anatomy, and medical coding systems (ICD, WHO, DSM3, DRG)
  • Familiarity with medical records retention policies
  • Understanding of HIPAA and healthcare privacy regulations
  • Experience in behavioral health, healthcare, or hospital settings preferred
  • Experience with electronic health record systems
  • Skills in Microsoft Office (Outlook, Excel) and report/dashboard compilation
  • Ability to communicate effectively and maintain confidentiality
  • High school diploma or GED required for supervising/custodial responsibilities
  • Must pass medical exam and drug screening upon job offer
