Responsible for supporting Health Information Management operations by helping the Medical Staff and organization meet federal and state compliance standards through accurate audits, timely reporting of incomplete encounters, and release of information functions. The role also includes processing outpatient records, filing, retrieval, archiving, computer input, admission support, birth certificate completion, and maintaining medical record systems.
This is a full-time onsite position, Monday through Friday, 7:00 AM to 3:30 PM.
Essential duties
- Maintain confidentiality of medical records, reports, and hospital business.
- Review charts and track incomplete chart encounters according to procedures and Medical Staff policy.
- Submit required reports to the Director and Medical Staff Office.
- Support the Medical Staff Peer Review process.
- Generate monthly and quarterly reports for leadership and hospital committees.
- Handle MPI reassignments and general corrections for patient admissions.
- Receive, file, retrieve, analyze, and route outpatient and ancillary records.
- Notify departments of missing records.
- Prepare records for coders.
- Retrieve medical records for patient care, committee meetings, quality improvement, and QIO needs.
- Perform filing, indexing, archiving, and general office support duties.
- Support release of information, legal documentation, and patient privacy processes.
- Record birth information and maintain birth statistics.
- Maintain fetal monitor strips and prepare paternity/support enforcement forms.
- Perform notary functions and operate office equipment as needed.
- Follow safety, infection control, and organizational policies.
Requirements & Qualifications
- High school diploma or equivalent required.
- Associate degree preferred.
- 1 to 2 years of hospital or medical office release of information experience.
- Medical terminology preferred.
- Ability to operate a personal computer, calculator, fax machine, microfiche or microfilm reader/printer, scanner, and photocopier.
- Strong critical thinking, problem-solving, and decision-making skills.
- Excellent customer service and communication skills.
- Ability to maintain confidentiality and work within legal and ethical guidelines.
- Ability to perform light physical tasks, including standing, walking, lifting up to 10 lbs, and other routine movements.
