Responsible for safeguarding patient privacy and managing requests for release of medical information in compliance with authorization requirements, HIPAA, and applicable state and federal laws.
- Greet patients and customers professionally and provide general information.
- Answer phones, retrieve messages, and route requests related to continued health care and release of information.
- Prioritize and process release of information requests from multiple sources, including mail, fax, phone, and in person.
- Retrieve medical records from active, inactive, and interdepartmental locations and track deliveries electronically.
- Assist with patient forms such as disability requests, FMLA, and return-to-work clearances.
- Handle protected health information requests and verify requester authorization.
- Scan, index, and process patient-completed forms and records in EMR systems.
- Generate invoices, letters, acknowledgements, and other release-related documents.
- Prepare records for electronic mailing, copying, faxing, and transfer to other facilities or third parties.
- Process requests from attorneys, subpoenas, court orders, risk management, and legal counsel.
- Support quality improvement, patient safety, and departmental productivity standards.
Requirements & Qualifications
High school diploma or GED required.
- Minimum of 1 year of experience in a medical records department preferred.
- Knowledge of medical records workflows preferred.
- Strong computer skills and experience with printers, computers, and fax machines.
- Familiarity with release-of-information legal issues and healthcare state/federal regulations preferred.
- Strong interpersonal skills and ability to work effectively with all levels of staff.
- Detail-oriented, self-motivated, and able to stay focused for extended periods.
- Ability to read, write legibly, speak, and comprehend English.
- Physical presence onsite is essential.
