The Patient Care Coordinator supports the day-to-day administrative functions of the Rio Rancho clinic. This role manages patient communications, appointment scheduling, front desk operations, and general office support in a healthcare setting.
Key responsibilities include:
- Greeting patients and visitors in a friendly, professional manner
- Managing patient check-in and check-out procedures and ensuring paperwork is completed accurately and promptly
- Processing payments for services
- Answering phone calls, responding to emails, and returning voicemails as needed
- Coordinating and scheduling patient appointments using clinic management software
- Following up on reminders, cancellations, rescheduling, no-shows, and same-day schedule changes
- Communicating with patients regarding clinic services and directing messages to the appropriate staff members
- Maintaining accurate patient records through filing, scanning, and data entry into the EHR system
- Supporting HIPAA compliance and protecting patient confidentiality
- Providing general administrative support, including correspondence and office supply management
- Coordinating with physical therapists and other healthcare staff to support smooth patient flow
- Ensuring a positive patient experience and escalating concerns when necessary
- Assisting the Clinic Manager, Physical Therapists, and Physical Therapist Assistants as needed
Requirements & Qualifications
Requirements
- Previous experience in a medical office or dental office setting is preferred
- Strong understanding of medical terminology and administrative procedures
- Excellent organizational skills and the ability to multitask in a fast-paced environment
- Strong verbal and written communication skills
- Ability to maintain confidentiality and follow HIPAA regulations
- High school diploma or equivalent
- Additional education, college coursework, or certification in medical administration is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Knowledge of medical terminology and insurance processes is beneficial
- Friendly, patient-focused attitude with strong customer service skills
- Detail-oriented, proactive, flexible, and adaptable to changing priorities
