We are seeking a detail-oriented, organized, and dependable Medical Billing Administrative Assistant to join the administrative team for a pain management and orthopedic practice.
This role provides administrative support to the medical billing team by ensuring patient and insurance documentation is complete, records are accurately maintained, and billing workflows are processed efficiently. The ideal candidate is dependable, organized, and able to manage multiple tasks in a fast-paced healthcare environment.
This is a full-time, in-office position.
Hours: Monday through Friday, 8:00 AM to 4:00 PM.
Duties
- Provide administrative support to the medical billing team.
- Scan, upload, and organize medical records and billing documents into the EMR system.
- Verify that patient demographic and insurance information is complete and accurate prior to claim submission.
- Prepare and organize patient charts and billing packets for submission.
- Obtain missing documentation from providers, therapists, or patients as needed.
- Answer and route incoming telephone calls related to billing inquiries.
- Process incoming mail, faxes, and electronic correspondence.
- Open and sort mail accordingly.
- Track outstanding documentation and follow up with providers regarding missing reports or signatures.
- Assist with workers' compensation, no-fault, and commercial insurance documentation.
- Maintain accurate filing systems and electronic records.
- Prepare spreadsheets and reports for management.
- Assist with payroll, supply ordering, and other office administrative duties as assigned.
- Support special projects and departmental initiatives as needed.
- Generate patient statements and assist with payment collections as needed.
- Maintain compliance with HIPAA regulations, payer requirements, and company confidentiality policies.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- 1-2 years of administrative experience in a healthcare or medical office preferred.
- Experience working with EMR systems and Microsoft Office (Word, Excel, Outlook).
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Ability to maintain strict confidentiality.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
